Recommended Devices for StoriiCare

Edited

StoriiCare is cloud-based, so it works on almost any modern device with an internet connection. There are no servers to set up and no special hardware to buy. This guide covers which devices work best, how many your team will need, and how to save money when you buy them.

How Many Devices Do You Need?

Every center is different, but these guidelines work well for most of our clients:

Role

Recommended number

Front-line care staff

1 tablet for every 2 to 3 staff on shift, and at least 1 per room or program area. If staff record care throughout the day, aim for 1 per staff member.

Nurses and clinical staff

1 device each

Office, billing and management staff

1 laptop or desktop each

Front entrance

1 iPad per entrance used for sign in/out

Spares

1 extra device for every 10 devices

Example: A center serving 50 participants a day, with 8 care staff per shift, 2 nurses, 3 office staff and 1 entrance, would need around 11 devices:

  • 3 to 4 tablets for care staff

  • 2 tablets or laptops for nurses

  • 3 laptops or desktops for the office

  • 1 iPad for the Register

  • 1 spare

Why this matters: When staff have to wait for a shared device, care gets recorded later from memory, or not at all. Having enough devices is one of the biggest factors in accurate records, smooth billing and passing audits.

Choosing Models

Tablets

  • Apple iPad (standard model): the best value for most centers.

  • iPad Air or iPad Pro: more power and a larger screen if your budget allows.

  • iPad mini: this can work, but the smaller screen can feel cramped for charting duties.

  • Android tablets: choose a recent mid-range or better model (for example Samsung Galaxy Tab or Lenovo Tab) with a screen of 10 inches or larger.

  • WiFi-only models with base storage are fine. Your data is stored securely in StoriiCare, not on the device.

Laptops and desktops

  • Any modern Windows laptop, MacBook or Chromebook will work well.

  • We recommend at least 8GB of RAM for a smooth experience.

Accessories worth buying

  • Protective cases for every tablet (drops happen!)

  • Matching cases in one color across all your devices (for example, all purple). Families and visitors can then easily recognize which devices are work devices, so they know staff are recording care, not on their personal phones.

  • A stand or wall mount for your Register iPad

  • A charging station so devices are ready at the start of each day

  • Screen protectors

Don't forget your WiFi. Strong, reliable WiFi across your whole building, including activity rooms and outdoor areas, makes a big difference.

How to Buy Devices & Save Money

Buy in bulk

Buying all of your devices at once usually gets you a better price.

  • Apple: Contact the Apple Business team for volume pricing. Tax-exempt organizations can also purchase without sales tax. Apple Certified Refurbished devices are another good way to save.

  • Dell, HP, Lenovo and Microsoft: Each has a business sales team that offers volume pricing. Ask for a quote for your full order.

If you are a nonprofit, ask for discounts

Nonprofits can often get significant discounts on devices, especially when buying in bulk. Always tell vendors that you are a nonprofit and how many devices you need.

  • TechSoup (techsoup.org): free to join for eligible nonprofits. Members can get discounts on new Dell, HP and Lenovo devices, plus refurbished laptops, tablets and phones (including Apple devices). Outside the US, TechSoup works with partner organizations in many countries.

  • Microsoft: eligible nonprofits can save on select Surface devices through the Microsoft Nonprofit program.

  • Ask every vendor: many retailers and manufacturers have nonprofit pricing that isn't advertised.

Check for funding

Some local foundations, grant programs and community funders will cover technology costs for care providers. It's worth asking.

Setting Up Your Devices

Once your devices arrive:

  1. Sign in on each device with your business Master Credentials. See Getting Signed in to StoriiCare.

  2. Lock shared iPads to StoriiCare only so they're used for work. See Locking Devices for StoriiCare Use Only (Apple iOS).

  3. Remind staff to log out when stepping away. See Session Time & Logging Out.
