Billing Onboarding Checklist: What You're Responsible For
Getting your billing set up correctly in StoriiCare involves a few processes that our team supports, but ultimately require your input and sign-off. Use this checklist to make sure everything is in place before you start generating invoices or submitting claims.
Note: StoriiCare configures much of your billing setup for you — including services, billing plans, and payers — but it's your responsibility to verify this information before relying on it for live billing.
Step 1: Sign Up for Stedi (Clearinghouse) for Reimbursements
Stedi is StoriiCare's preferred clearinghouse partner for submitting claims and receiving electronic remittance advice. Getting connected is a shared process — here's your part:
Register for a Stedi account using this custom link
Install the StoriiCare App inside your Stedi account
Complete transaction enrollments directly in your Stedi account for each payer that requires them — this includes 835 ERA enrollment (required for all payers) and 837 claim enrollment (varies by payer)
Confirm credentialing and contracting are completed directly with each payer — StoriiCare and Stedi only support the technical transaction enrollment step, not credentialing or contracting.
Note: Enrollments can take 1–3 weeks (longer for Medicare and Medicaid), so complete this step early to avoid delays in claim submission.
Note: If you have multiple locations, whether you need a single Stedi account/Provider or a separate Provider record per location depends on whether your locations share the same EIN and NPI. Check with your StoriiCare contact if you're unsure which applies to you.
Note: If you're enrolling with Medicaid in Massachusetts, you'll be asked to download, complete, and re-upload a form. It must be printed on your centre's letterhead and dated, or the enrollment will be rejected.

Step 2: Sign up for Stripe for Private Payments
If you'll be collecting private payments through StoriiCare, you'll need to complete Stripe onboarding.
Prepare your business details, authorized representative information, and bank account details in advance
Navigate to Billing > Settings > Payments and click Start Enrollment to begin the Stripe onboarding flow
Complete and submit the Stripe application, and agree to Stripe's Terms of Service

Step 3: Configure 837 Export Settings
When it comes to claims submissions, StoriiCare configures most of the participant-specific settings on the 837 export for you, but the following still require your attention:
Complete the Provider Specific Setup under Billing > Settings > Exports > 837s Export > Center Specific with your agency's business information
Double-check the Participant Specific settings to confirm Face Sheet fields are populated correctly — missing or incorrect fields here are a common cause of claim rejections
Verify required fields such as Policy/Insurance ID, Insurance Type, Participant Address, Insurance Group/Plan number, Prior Authorization Code, and Primary Problem Code (ICD10)
Note: If you're submitting claims through Stedi, you do not need to complete manual Payer Setup — this is handled automatically through the API connection.
Tip: Use the NPPES NPI Registry to verify your NPI numbers, legal provider name, and taxonomy codes before submitting.

Step 4: Double-Check Your Billing Configuration
StoriiCare gets you started by configuring services, billing plans, and payers on your behalf — but this information must be verified before you generate invoices or submit claims.

Payers
Confirm all payers are present, both private and reimbursement
Confirm all Private Payers have an email address on file for receiving invoices
Participants
Confirm each participant has the correct payer(s) attached
Confirm the default payer is correct for each participant
Face Sheet fields
Confirm all fields required for participant billing are filled out on the Face Sheet

Outgoing invoice emails
Confirm your private pay invoice emails are customized to your liking, including logo, brand color, and template text — see How to Customize and Send Email Templates
