How to Set Up Billable Tasks
Billable tasks in StoriiCare allow you to track services provided and link them to billing or invoicing processes. This ensures accurate service records and simplifies financial reporting.
When to Use Billable Tasks
Billable tasks are useful when:
A service is directly chargeable to a client or funding source (i.e. showers).
You need to track billable hours, sessions, or units for reimbursement (i.e. PT sessions).
You want to link completed work to automated attendance or billing exports (i.e. transportation)
Examples:
One-on-one therapy sessions
Transportation services
Extra care hours outside of standard packages
Regularly recurring, ad-hoc services such as meal delivery or laundry
Steps to Set Up a Billable Task
1. Access the Tasks Feature
From your Dashboard, click Tasks.
2. Open Task Settings
Click the Settings Cog in the top-right corner of the Tasks screen.
3. Create or Edit a Task
In the Tasks Settings section, you can:
Add a New Category for billable services and create or move tasks there or
Edit an Existing Task Type that you want to mark as billable.
4. Set the Task's Service Units
Click where it says Service Units and select a Service charge from the dropdown menu (this list pulls from what is stored in Billing > Services).
5. Save Changes
Click the green disc icon in the upper-right corner to save and apply the settings.
Identifying Billable Tasks
Billable tasks generate a service charge on a participant's invoice any time the task is marked as completed. To identify these tasks easily, green $ icons have been added to help staff visually identify which tasks are associated with a service charge.
From Task Settings: A green $ sign appears in the top-right corner.
From Tasks: A green $ sign appears in the bottom right corner.
Viewing Billable Task Data
Billable Tasks can be viewed by:
Tasks: Using the Task Type filter to search for billable task types (or a billable task category, if one is set up).
Billing: Previewing & Generating Invoices.
Exports: Attendance Table Export (toggle on 'Include Tasks') or Tasks Export.
Best Practices
Use clear, descriptive category names for billable services.
Train staff to select the correct category when creating tasks.
Review exports regularly to ensure all billable work is recorded.
