How to Enable Form Notifications via Workflows
Receiving timely alerts when forms are submitted is key to effective communication and workflow management in StoriiCare. With the Workflows feature, staff can set up email notifications that are triggered whenever specific forms are submitted—by internal staff or external parties (e.g., family members or service users).
What Are Form Notifications?
Form notifications are automated email alerts sent to designated recipients when a selected form is submitted. These help ensure that the right team members are informed immediately, reducing delays in reviews, approvals, or follow-ups.
It's important to note that you do not need to create an individual workflow for each form. Multiple forms can be selected at once while creating a workflow.
How to Set Up Forms Notifications
Navigate to the Workflows Feature:
Go to the Dashboard.
Select Workflows from the options.
Create a New Workflow:
Click Add.
Give your workflow a clear name and description (e.g., “Incident Form Notification”).
Click Add again.
Choose the Trigger:
From the Workflows page, click on the new workflow you created
Below the Trigger heading, select Recent Action from the dropdown menu.
Filter for Forms and check the box
Select the Form:
Choose the specific form (or forms) you want to trigger the notification.
Define the Action:
Scroll to the bottom and under the Action heading, choose Send Email.
Set the Recipients:
Enter the email addresses of the individuals or teams who should receive the alert. Multiple emails can be added. Simply click the + icon to add each one.
You can notify internal staff (e.g., nurses, managers) or external contacts (e.g., family members, outside professionals).
Save and Toggle On the Workflow:
Click Save.
From the Workflows page, turn on the toggle for your workflow to ensure it's activated.
Example Use Cases
Notify management when an Incident Report is submitted.
Alert the care team when a Change in Condition form is completed.
Inform external stakeholders when a Feedback form is submitted by a family member.
