A Guide to Ad Hoc Activity
Ad Hoc Activity allows care teams to record attendance for activities and events that were not scheduled in advance on the Calendar. This is useful for capturing spontaneous or unplanned moments of engagement — such as an impromptu card game among participants, a surprise family visit, or an unplanned outing.
Taking Attendance for an Unscheduled Activity
Click on Ad Hoc Activity from the Dashboard
In the search bar, begin typing the name of the activity you want to record
Click on the activity from the results to open the Take Attendance form
Select the participants and staff who took part in the activity
Optionally, click the grey question mark icon that appears next to a selected participant to record individual details such as engagement level, mood changes, and personal notes
Click Save in the top right-hand corner to record the completed activity
If the activity you are looking for does not appear in the search results, it will need to be created first. See the instructions below.
Creating a New Ad Hoc Activity Type
If an activity does not exist in the database, it can be added before recording attendance.
Click on Ad Hoc Activity from the Dashboard
Click Manage Activities in the top right-hand corner of the screen
Click New Activity Type
Click the pencil icon next to each field to enter the activity details
Click Save to save the activity details
Click Stop Editing in the top right-hand corner to exit the editing mode
The new activity will now appear in the search bar and can be selected to complete the Take Attendance form.
